What we collect, why, and the choices you have.

Welbeck Archers (“we”, “us”, “the club”) is committed to protecting your privacy. This policy explains what personal information we collect, why, how we look after it, and the rights you have.
In short: we collect as little as possible, we ask before we use non-essential cookies, and we never sell your data.
Who we are
Welbeck Archers is the “data controller” for the information described here.

What we collect, and why
- Contact form or email — the name, email address and message you enter, so we can reply to your enquiry. Lawful basis: our legitimate interest in replying to you.
- Newsletter sign-up — the email address you enter, so we can send you club news; unsubscribe any time. Lawful basis: consent.
- Club admin accounts — for website volunteers, a name, email and encrypted password, used to manage the site’s content. Lawful basis: legitimate interest in running the club.
- Website analytics — if you accept analytics cookies, anonymous aggregated usage data from Plausible to help us understand which pages are useful; this doesn’t identify you individually, and nothing loads until you accept. Lawful basis: consent.
The contact and newsletter forms aren’t currently accepting submissions while we finish setting up how they’re delivered. Once they are, submissions will go directly to the club by email or a private webhook — we don’t run a marketing database or sell or share your details with anyone else.
Other services we use
- OpenStreetMap / CARTO — the location maps around the site (Contact page, footer, mobile menu, and the dedicated Find us page) use OpenStreetMap data via CARTO, not Google Maps. Neither sets a cookie, but viewing a page with a map does request map images from their servers, which may log your IP address the way any website request does. The “Open in Google Maps” link on the Contact page is a plain link — it only sends you to Google if you click it.
- Web hosting: the site is run by a commercial hosting provider, purely to keep it online — full technical hosting details are available on request.
How long we keep it
We’re still finalising exact retention periods for contact enquiries and analytics data, and will update this policy once they’re set. Newsletter sign-ups are kept until you unsubscribe. In the meantime, we review what we hold periodically and delete what we no longer need.
Your rights
Under UK GDPR, you can ask us what personal data we hold about you, ask us to correct it, ask us to delete it, or object to how we use it. Email secretary@welbeckarchers.club and we’ll help. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk (opens in a new window) or 0303 123 1113.
Children’s privacy
We welcome archers from age 10, so some members are children. We don’t knowingly collect data from under-13s through this website without a parent or guardian’s involvement; we ask a parent or guardian to make contact on a child’s behalf. Safeguarding at the club is handled under the AGB Safeguarding Policy, not by this website.
Changes to this policy
We may update this policy from time to time; the “last updated” date above shows the latest change.
